Prerequisites for Activating AutoCollect
You must have the following roles in Visma Net
API User
Financials User
App Store Integrator
Integration Administrator
The roles can be assigned in Visma Net Admin. If you have Admin access, you can assign these roles yourself, or you can ask a colleague with Admin access to assign the roles to you. Here is how to assign the roles:
Go to Visma Net Admin
Find the relevant user in the overview
Check that the correct company is selected
Under Role you should check API User, Financials User, App Store Integrator, and Integration Administrator. If you have Admin access in Visma Net, Financials Administrator will also be checked.
Click Assign
1. Set up clearing account
2. Grant App Store permission
3. Registration form
Step 1 – Set up clearing account
AutoCollect uses a clearing account to automatically post settlements. This must be created before you can activate the service. See this
help article
for instructions on how to create this account.
Step 2 – Grant App Store permission
AutoCollect works as an app in Visma Net Financials. In order to run this app, the App Store must be granted permission.
Go to Menu
Click Accounts Receivable and then AutoCollect
💡 Tip: You can also search for AutoCollect in the search field at the top of Financials.
A registration window will now appear. Click Grant App Store permission. This will take you to the App Store.
Select the correct company you want to set up AutoCollect for.
💡 Note: Many companies have two versions — a test environment and a production environment.
Click Set permissions, then Accept, Integrate and Accept again
Go back to AutoCollect in Visma Net and refresh the page. The yellow box asking you to grant App Store permission should now be gone.
Step 3 – Complete the registration form
The registration form consists of four steps:
1 of 4 – Contact information+
Confirm the information shown here, or fill in any missing fields. If something is incorrect, this can be changed in the settings in Visma Net Financials before reloading the registration form.
If you need to add a contact person or update contact information after registration, see this
article.
💡 Note: If the bank account number contains dots, these must be removed before proceeding. You can do this by going to Company in Visma Net Financials.
2 of 4 – Invoice sending+
Here you define the criteria for sending an invoice to AutoCollect. Note that a debt collection notice will not be sent from Amili until at least 14 days after the due date. We therefore recommend leaving the number of days at 14.
3 of 4 – Automatic posting+
We have retrieved accounts based on the standard chart of accounts. You can change these if other accounts are more suitable for your accounting. The clearing account must be the account you set up as the clearing account for AutoCollect.
💡 Note: For automatic posting to work, it is important that the relevant accounts are set to Active in your chart of accounts.
4 of 4 – Confirm+
Open the link to the collection agreement and read through the terms. Click Confirm to accept the content and activate the service.
💡 Note: We recommend reading the agreement carefully, especially the sections on case withdrawal, monitoring and VAT.
AutoCollect is now activated — please note that it may take a few hours before outstanding invoices are loaded into the dunning proposal for the first time. You will receive an invitation to the Amili portal at the email address provided.
